Winspeer is a small but growing company with 25 employees in 6 locations across Western Canada. We approached Claero systems with a request to help setup the IT infrastructure that would help improve communication and data sharing between geographically separated employees.
Claero's proposal to us included:
set up a VPN (virtual private network) to link remote offices over the Internet
implement a Microsoft Exchange Server to be used as an e-mail, faxing, contact management and collaboration tool
improve backup and disaster recovery systems
virus protection and intruder (firewall) protection
standardize desktop PC systems (software)
We knew from the outset that Claero Systems was the right company to help us with our information technology needs.
In early 2000 we experienced consolidation and growth that pushed the limits of our computer and network capabilities. Our sales staff used various methods, systems and software for storing information about our clients, for critical faxing activities, and for scheduling appointments and events. Resources such as our inventory and product brochures that could have been shared between offices and staff were being re-created. Beyond these activities, we lacked an overall strategy for the back up and virus protection of the information on which we depended as a company, and we did not feel we were fully leveraging the money spent on computer and software purchases.
What we really needed was somebody with extensive knowledge of the Information Technology domain who could take an overall view of our companies and come up with a coherent and cost-effective way to help. Claero Systems was clearly that company. They sat down with various members of our staff from all levels and areas of our company and proceeded to create a three phase proposal which included time and cost estimates. The proposal clearly laid out how to consolidate our contact, email and calendaring systems in order to ease the activities of serving our clients, while enhancing our services. It also included the solution for how to link our offices together and effectively share our internal resources, as well as greatly increase the access to all our information while we were out of the office. Methods for backing up our data, protecting our systems from viruses, standardizing our computers to ease support needs, and a strategy to save money on software licensing were all part of the proposal. After internal acceptance of the project, Claero Systems quickly started to put the plan in place.
It's a combination of professionalism and experience that sets Claero Systems so far apart from anybody else with whom we've dealt. The part that really makes them stand out though is how quickly they became a partner in our success in terms of understanding our business and working with us, not just for us. Although every project has its problems, it is often during these times of stress that you can gauge the full measure of a company. Throughout the latest project, it has been a real pleasure dealing with the people of Claero Systems, and I know of very few companies who could have completed this kind of project with the same time, cost and level of quality that they have been able to uphold.
